Job Summary
We are seeking a dynamic and highly organized Administrative assistant to lead and oversee daily operations. This role is vital in ensuring the practice runs smoothly, efficiently, and profitably while delivering exceptional patient care. The ideal candidate will possess strong leadership skills, comprehensive medical office management experience, and a passion for fostering a positive environment for staff and patients alike. As a key member of our team, you will coordinate administrative functions, manage financial processes, verify patient insurance eligibility and benifits, and uphold compliance with healthcare regulations to support the clinic’s success.
Duties
- Oversee all aspects of clinic operations, including patient scheduling, billing, and records management using EMR (Electronic Medical Records) and EHR (Electronic Health Records) systems such as Open Dental.
- Supervise dental assistants and other team members to ensure high-quality service delivery and adherence to clinic policies.
- Manage fiscal responsibilities including budgeting, financial management, billing processes, and cost control measures to optimize revenue streams.
- Ensure compliance with HIPAA regulations and maintain the confidentiality of medical records while managing documentation accurately.
- Coordinate with dental practitioners and healthcare providers to facilitate smooth clinical workflows and effective patient care delivery.
- Implement human resources practices such as staff recruitment, training, performance evaluations, and conflict resolution to foster a motivated team environment.
- Monitor clinic performance metrics, utilization management data, and quality assurance standards aligned with JCAHO or other accreditation bodies to uphold healthcare quality standards.
- Handle vendor relationships for medical supplies and equipment procurement while maintaining inventory levels that support daily operations.
- Support acute care or hospital experience requirements by ensuring clinical procedures meet safety protocols and regulatory standards.
Skills
- Extensive knowledge of dental office experience and healthcare management practices.
- Strong fiscal management skills including budgeting, financial analysis, and resource allocation.
- Proficiency in EMR/EHR systems such as Open Dental or similar platforms used in medical/dental practices.
- Supervising experience with the ability to lead teams effectively within a fast-paced clinical environment.
- Deep understanding of HIPAA compliance, medical terminology, medical records management, and healthcare regulations such as JCAHO standards.
- Excellent organizational skills with the ability to multitask across administrative functions like human resources support and medical administrative support tasks.
- Experience managing clinic operations involving managed care contracts or utilization management processes is highly desirable.
- Strong communication skills to collaborate with clinicians, staff members, vendors, and patients professionally and efficiently.
