Administrative Assistant

Job Summary
We are seeking a highly organized and proactive Administrative Assistant to provide direct support to our Chief Financial Officer. This role is ideal for someone who thrives in a fast-paced environment and excels at managing priorities, communication, and scheduling. The Administrative Assistant will play a key role in helping the CFO stay organized and focused by managing email correspondence, maintaining an efficient calendar, and assisting with day-to-day administrative tasks. The ideal candidate is detail-oriented, discreet, and capable of anticipating needs while maintaining a high level of professionalism.

Responsibilities

  • Monitor and manage the CFO’s email inbox, prioritizing messages, flagging urgent matters, and responding or drafting replies when appropriate
  • Maintain and coordinate the CFO’s calendar, including scheduling meetings, managing conflicts, and ensuring efficient time management
  • Assist with scheduling internal and external meetings, preparing meeting agendas, and coordinating logistics
  • Help organize and track documents, reports, and correspondence related to finance and executive operations
  • Provide general administrative support such as preparing documents, proofreading communications, and maintaining organized digital files
  • Coordinate with internal team members and external partners on behalf of the CFO as needed
  • Assist with special projects, research tasks, and administrative requests from the CFO
  • Support general office administrative needs when required

Skills

  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High level of professionalism and discretion when handling sensitive information
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Strong attention to detail and ability to anticipate needs and solve problems proactively
  • Ability to work independently while maintaining strong collaboration with leadership and team members
  • Experience supporting executives or senior leadership is highly preferred
  • Comfortable working in a fast-paced environment with shifting priorities

Pay: $38,000.00 - $40,000.00 per year
