Administrative Assistant

The administrative assistant maintains daily operations of the church office and plays a key role in communication and coordination of church activities. Supports the Pastor and paid staff, volunteers and church members. Demonstrates and integrates the mission of the church into all behaviors and responsibilities.

Hours of Work

The position is a salaried, part time 24 hours per week position. Typical hours 9 am – 4 pm, Monday through Thursday with one-hour unpaid lunch. Flexible scheduling on occasion.

Minimum Knowledge, Skills and Abilities

1. High school diploma required. Five years administrative assistant experience preferred.

2. Proficient keyboard skills.

3. Proficient in use of computer software including but not limited to Microsoft office suite. Maintains knowledge on updated technology. Church Windows and database knowledge would be helpful but will train.

4. Excellent customer service skills. and sound oral and written communication skills.

5. Understands church’s organizational function at local, synod, and national level; maintains current knowledge of the church’s goals and mission at all levels.

6. Maintains confidentiality.

7. Able to work independently with solid time-management and organizational skills. May work alone in the building.

8. Able to successfully pass a background check and drug test.

Essential Job Functions

1. Facilitates communication and planning by active participation in weekly staff meeting and with Pastor.

2. Coordinates and communicates information and activities to staff, committees, council members, and related groups within the church.

3. Assures received communications are relayed in a timely manner to the appropriate individual and follows through to ensure announcements and information are communicated to the congregation, committee members and/or volunteers.

4. Assures a warm, welcoming and pleasing atmosphere in all interactions with visitors, members and staff including all face to face, written and phone interactions.

5. Maintains day to day operations of the church office including building access, inventory control of office supplies within budget. Maintains keys and key FOB system per guidelines. Ensures supplies and flowers are ordered for weekly Sunday services, holidays and special events.

6. Creates and/or coordinates written information for publications in Sunday bulletin, weekly and monthly newsletter, annual reports, ballots, annual synod report, special publications, and performs assigned composition and word processing. Maintains list of parishioners who request information/publications mailed vs. emailed. Produces weekly bulletin. Sends weekly Sunday readings and information to worship participants.

7. Ensures master calendars for all church activities are updated and maintained including but not limited to facility rentals, special events, flower chart, worship service volunteers (assisting minister, readers, communion assistants, ushers). All changes to the calendar are promptly communicated to affected individuals (including but not limited to kitchen workers/volunteers, custodial staff, facility manager).

8. Oversees management and maintenance of office equipment and phones.

9. Maintains church records, including notation of pastoral official acts, membership database. Prepares transfer letters as requested. Ensures the church’s legal standing requirements are current.

10. Assembles and distributes meeting packets for council, special congregational and annual meetings; assembles and distributes meeting packets for any committee meeting when requested by committee chair.

11. Works in collaboration with facility manager and church members to coordinate building rentals, building access, secures rental agreements, deposits, payments, arranges return of security deposit if required, maintains rental log and master calendar.

11. Sorts, distributes and sends mail and emails as appropriate.

12. Develops and maintains procedure manual for general office duties and responsibilities.

13. Reconciles purchasing and credit card statements.

14. Other duties as assigned.

Pay: $23,500.00 - $25,000.00 per year
