Job Summary
We are seeking an energetic and detail-oriented Administrative Assistant to support our daily office operations. This role is vital in ensuring smooth communication, efficient office management, and exceptional customer service. The ideal candidate will be proactive, highly organized, and possess strong computer literacy to handle clerical tasks with precision and enthusiasm.

Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately
  • Operate multi-line phone systems with professional phone etiquette to handle inquiries efficiently
  • Maintain organized filing systems and perform data entry using various software tools such as Microsoft Office
  • Assist with calendar management, scheduling appointments, and coordinating meetings for team members
  • Support bookkeeping tasks using QuickBooks and handle basic invoicing or billing processes
  • Provide exceptional customer support by responding promptly to inquiries via phone or email
  • Perform clerical duties including proofreading documents, managing correspondence, and maintaining office supplies

Experience

  • Prior office management or administrative experience in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with QuickBooks or similar bookkeeping software is preferred
  • Experience handling multi-line phone systems and practicing professional phone etiquette
  • Bilingual abilities are a plus to assist diverse client needs
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Personal assistant or medical/dental receptionist experience is advantageous
  • Knowledge of data entry, filing procedures, and time management techniques
