Administrative Assistant

<Duties>

● Respond promptly to new inquiries

● Guide potential clients through our initial process

● Schedule discovery calls and share preparation materials

● Maintain accurate records within our CRM

● Follow up on proposals and warm leads

● Schedule contractors, installers, and vendor appointments

● Confirm job-site access, timelines, and deliveries

● Send reminders and confirmations ahead of site visits

● Log updates or issues clearly for the team

<Qualifications>

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools
  • Experience with QuickBooks or similar bookkeeping software is preferred
  • Excellent phone etiquette with the ability to manage multi-line phone systems confidently
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills with high accuracy; familiarity with data entry processes
  • Knowledge of office management practices including filing systems and calendar management
  • Previous clerical or administrative experience in a customer service-oriented environment is advantageous
  • Ability to proofread documents meticulously for grammar, spelling, and formatting errors
  • Demonstrated time management skills to prioritize tasks efficiently in a busy setting
  • Experience as a dental or medical receptionist or personal assistant is a plus but not required
