As an Administrative Assistant at P&H Interiors, you play a vital role in supporting both our team and our President/CEO, helping ensure the seamless day-to-day operations of our office. You are often the first point of contact for clients and vendors, representing our commitment to Professionalism, Respect, and Communication in every interaction.
In this role, you will manage phone calls and emails with poise and warmth, organize and process important documentation with accuracy and accountability, and help maintain strong, collaborative relationships with our valued clients and partners. Your ability to prioritize, stay organized, and manage time effectively will directly support the success of our projects and the experience we deliver.
This position is ideal for someone who thrives in a fast-paced environment, takes ownership of their responsibilities, and values teamwork, clear communication, and attention to detail.
Key Accountabilities:
· Answer office main phone and direct calls as necessary
· Support President/CEO in administrative tasks as needed
· Maintain correspondence for info@pnhinteriors.com website
· Greet and direct clients when they arrive including proper signage, assist in client visits when needed including breakfast/lunch.
· Ensure office kitchen is clean and orderly
· Maintain office and office kitchen supplies
· Assist in maintaining organized library and scheduling presentations.
· Process daily mail and filing as needed
· Coordinate travel arrangements for P&H team when necessary
· Keep presentation rooms stocked and clean for clients
· Manager holiday gifts coming and going from Vendors and clients
· Assist Director of Logistics when needed
· Assist in event planning and coordination
Competencies
· Associate’s or Bachelor’s Degree in Business Administration preferred
· 4-5 years Administrative experience preferred
· Small business experience preferred
· Requires professional and effective speaking, listening and written communication skills to drive clarity and accuracy.
· Able to resolve concerns professionally and gracefully.
· Extremely detail-oriented with exceptional time management abilities
· Work effectively in a team environment, self-directed yet able to ask for help when necessary
· Dress the part of working in a design professional environment. Adherence to relevant health and safety protocols.
· Able to demonstrate by example and inspire other to discern and follow our P&H Core Values:

Leadership Experience
· Strong organizational skills with ability to be flexible with workflow demands.

Technical Knowledge
· Microsoft 365/TEAMS
· Design Manager/Studio Designer (a plus)
