Administrative Assistant

<Job Summary>
We are seeking a dynamic and highly organized Administrative Assistant to join our team! <Duties>

  • Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries promptly, and direct calls efficiently using excellent phone etiquette
  • Maintain organized filing systems, including electronic data entry, document proofreading, and record keeping
  • Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and collaboration
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
  • Handle bookkeeping duties using QuickBooks or similar accounting software to assist with invoicing and expense tracking
  • Provide customer service support by addressing client needs, managing inquiries, and ensuring positive interactions
  • Assist with clerical tasks including photocopying, faxing, mailing, and inventory management
  • Support personal assistant duties when needed by managing schedules or preparing correspondence

<Qualifications>

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and basic computer literacy
  • Familiarity with QuickBooks or other bookkeeping software is preferred
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are a plus to support diverse client needs
  • Strong typing skills with attention to detail for proofreading and data entry tasks
  • Experience in customer service or customer support roles demonstrating professionalism and communication skills
  • Ability to manage time effectively in a fast-paced environment while multitasking efficiently
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
