Administrative Assistant

The City of Monticello is seeking a professional, community-minded individual to serve as Administrative Assistant to the Mayor. As the primary point of contact for City Hall, you will play a vital role in supporting executive operations and enhancing our city's public image. This position requires a unique blend of high-level organization and discreet communication.

Key Responsibilities

  • Executive Support: Manage the Mayor's professional calendar, coordinate travel, and prepare daily briefings and meeting materials.
  • Public Liaison: Act as the first point of contact for constituents and visitors, resolving inquiries with tact, empathy, and professionalism.
  • City Representation & Media: Attend community events, ribbon cuttings, and city functions as an official representative. Capture professional photography and provide social media coverage for the City's Facebook page and official website.
  • Office Operations: Maintain meticulous electronic and physical filing systems, draft correspondence, and ensure the Mayor's office operates at peak efficiency.
  • Meeting Coordination: Prepare agendas, arrange meeting spaces, and record detailed minutes for official sessions.
  • Confidentiality: Handle sensitive information and documents with the utmost discretion and integrity.

Required Skills & Qualifications

  • Communication: Exceptional writing and editing skills; ability to draft formal memos and respond to public inquiries with professional poise.
  • Technical Proficiency: High competency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Experience with digital photography and social media management is highly preferred.
  • Soft Skills: Strong organizational abilities, a service-oriented mindset, and the capability to multitask in a fast-paced government environment.
  • Education: High school diploma or GED required; vocational training or an Associate degree is a plus.
  • Availability: Must be willing to attend occasional evening or weekend community events as needed.

Compensation & Application

  • Salary Range: $12.50 - $17.50 per hour (commensurate with experience)
