Administrative Assistant

Position: Temp Administrative Assistant (Floater)

Company: Global Investment Firm

Location: West Los Angeles (Sawtelle)

Pay Rate: $30.00–$40.00/hour

Schedule: 8:00 AM – 5:00 PM | Monday–Friday | Fully Onsite

Duration: 8 weeks (leave coverage; subject to extension)


Position Summary:

Our client, a leading global alternative investment firm specializing in corporate credit, is seeking a proactive Temporary Administrative Assistant to support its LA office during an employee leave.

This role will serve as a floater across the administrative team, providing executive support while also assisting with reception and day-to-day office operations. The ideal candidate brings a strong service mindset, operates with professionalism and discretion, and embraces a “no task too small” approach in a fast-paced, high-expectation environment.


Responsibilities & Duties:

  • Provide comprehensive administrative support to leadership, including complex calendar management, prioritization of commitments, conflict resolution, and detailed travel coordination
  • Prepare and submit expense reports in accordance with corporate policy, ensuring accuracy and timely reimbursement follow-up
  • Offer coverage for administrative team members as needed and assist with special projects
  • Serve as the first point of contact for visitors by greeting guests, coordinating conference room reservations, and managing building security protocols
  • Answer, screen, and direct incoming calls professionally and efficiently
  • Support overall office operations, including maintaining kitchen and office supplies, coordinating building access, and forwarding property communications
  • Reset and maintain conference rooms following meetings, ensuring rooms are clean, organized, and fully functional
  • Coordinate catering logistics, prepare parking validations and access cards for visitors and new hires, and manage meeting setup and breakdown


Qualifications:

  • Minimum 3 years of receptionist and/or administrative experience, preferably within a corporate or financial services environment
  • Strong judgment, professionalism, and ability to interact effectively with internal and external stakeholders
  • Proactive, detail-oriented, and solutions-driven mindset
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
  • Strong organizational skills with the ability to manage shifting priorities
