The Administrative Assistant serves as the primary operational link between the facility, its residents, and the public. This role manages the front-office environment, including the multi-line communication system, visitor reception, and comprehensive clerical support. The Administrative Assistant ensures seamless office operations while providing high-level administrative service to residents and staff.
Payroll Support: Orchestrates the preparation and distribution of timecards to appropriate department heads.
Records Management: Collates and maintains medical charts with a high degree of accuracy and confidentiality.
Procurement: Manages the inventory and ordering of office and facility supplies within established budget allocations.
Information Processing: Compiles data for reports and produces general or technical documentation as required.
Database Maintenance: Manages and updates essential directories, including resident room assignments, personnel contact lists, department extensions, and physician Kardex files.
Logistics Coordination: Oversees all incoming and outgoing mail and package distribution for the facility.
Client Relations: Acts as a liaison for residents and families, ensuring they receive compassionate, high-quality service that respects individual rights.
Operational Support: Executes specialized projects and other administrative duties as assigned by management.
High school diploma or equivalent; college-level business coursework is strongly preferred.
Prior experience with medical terminology is preferred.
Full professional proficiency in reading, writing, and speaking the English language.
Organizational Excellence: Exceptional ability to manage multiple priorities in a fast-paced environment.
Operational Insight: Ability to handle complex assignments requiring a deep understanding of facility procedures.
Professionalism: Maintains a polished, professional image and consistently demonstrates tact and courtesy.
Technical Proficiency: Skilled in the use of computers, office software, and standard office equipment.
Discretion: Proven ability to handle sensitive and confidential information with total integrity.
Communication: Well-developed verbal and written communication skills; must possess a professional and pleasant phone demeanor.
Autonomy: Ability to work independently, troubleshoot issues, and make informed decisions.
Compliance: Must provide annual verification of a negative TB skin test.
Engages professionally with residents, families, visitors, and staff to foster a positive facility culture.
Remains adaptable and willing to provide hands-on intervention or participation in various facility tasks as requested.
