We are currently seeking a talented and experienced Administrative Assistant to join our team of professionals. This position offers great opportunity for dynamic, motivated self-starters to work on a variety of work assignments. You’ll be a member of our highly respected team of professionals with a full complement of resources to support you and exciting projects to keep you challenged.

JOB REQUIREMENTS:
  • Assists in general administrative tasks such as answering multi-line phones, copying, scanning, filing, organizing, mailing, emailing, receiving and directing visitors, and expediting information.
  • Maintains and organizes electronic files system and standard documents using Microsoft Office Suite and other software. Processes and emails electronic documents to applicants and clients.
  • Enters project information into company tracking system and billing invoice information into Excel spreadsheets. Double checks and verifies data by reviewing entered information and making corrections if needed.
  • Receives, organizes, maintains, files, purges, and ships construction plans and documents.
  • Perform routing word processing, data entry, general clerical tasks as required.
  • General front desk duties as necessary – mail management, filing, reception, answer and manage phones.
  • Perform research on projects including gathering, compiling, and analyzing information.
  • Assist in the preparation of proposals and other formal written business development documents.
  • Maintaining database/spreadsheets for tracking information and reporting purposes.
  • Other related duties and responsibilities as assigned.
Skills:
  • Motivated, self-starter attitude with a willingness to learn
  • The ability to work independently yet efficiently in a fast-paced environment
  • Proficient in operating a variety of modern office equipment including copiers and computers
  • Experience in the Engineering, Construction and/or Real Estate industries a plus
  • Solid computer and software skills with proficiency in Windows and Microsoft Office Products (Microsoft Word, Microsoft Excel, Microsoft Outlook). Typing 55+ WPM
  • Experience in customer service both internally and externally, as well as in person and over the phone
  • Strong communication skills both verbal and written
  • Strong organizational skills with multiple projects
  • Strong analytical and problem-solving skills
  • Attention to detail
  • Read, write and communicate using English language sufficient to perform job functions.
  • Work well with all levels of management and staff, as well as outside clients, designers, vendors, and applicants.
Education/Experience:
  • High School Diploma and minimum 1 years' experience in an Administrative or Executive Assistant role.

Salary Range: $28.00/hr - $30.00/hr
