Administrative Assistant

Overview

We are a premier custom home builder looking for a sharp, tech-savvy Administrative Assistant.

This role is designed for a highly organized professional who thrives on variety and is comfortable navigating modern construction technology. You will handle everything from high-level job costing to the critical administrative tasks that keep our builds on schedule.

Key Responsibilities

  • Financial & Job Cost Accounting: Act as the primary administrator for our job-costing software. You will manage the digital intake of all bills, receipts, and project expenses, ensuring they are accurately coded and routed through the automated approval workflow. Once reviewed by the appropriate PM or Principal, you will finalize and process all payments.
  • Subcontract Administration: Work closely with PMs to compile subcontract agreements. Once a PM approves a scope or bid, you will prepare the formal contract, ensure all exhibits/drawings are attached, and route for digital execution.
  • Compliance & Insurance: Manage subcontractor insurance requirements (GL, Workers Comp, etc.)
  • Project Manager Support: Provide administrative assistance to PMs as requested. This includes miscellaneous administrative tasks such as following up on permits, assisting with management of project-specific documentation, coordinating printing of plans/documents, etc.
  • Digital Operations: Maintain our Google Business Suite and Microsoft Ecosystem (Windows, Excel, Word). You will ensure all project folders are organized and that our digital "paper trail" is flawless.

The Ideal Candidate

  • Tech-Fluent: You are an expert in Windows-based environments and cloud-collaboration tools. Ability to learn & maintain specific project management software.
  • Detail-Oriented: You notice if a subcontractor’s name is misspelled on a COI or if an invoice appears incorrect before processing for approval.
  • Proactive & Flexible: You are happy to jump from a complex accounting workflow to a quick administrative task for a PM in the field.

Requirements

  • 2+ years of experience in construction administration, bookkeeping, or a high-level executive assistant role.
  • Fluency with Microsoft Apps (Excel/Word), Windows, and Google Business Suite.
  • Solid understanding of bookkeeping principles (AP/AR) and construction-specific job costing.
  • Experience managing subcontractor insurance compliance.
  • Anticipatory Problem Solver

Pay: $25.00 - $30.00 per hour
