Administrative Assistant

Position Summary

The Assistant to Senior Leadership provides high-level administrative, operational, and project coordination support to senior executives overseeing North America operations. This role requires strong organizational skills, cross‑cultural communication ability, discretion, and the capability to operate effectively in a fast‑paced environment involving teams in the U.S., Taiwan, and Mexico.

Key Responsibilities
1. Executive Support & Administrative Management

Manage complex calendars, cross‑time‑zone meetings, and travel arrangements across the U.S., Taiwan, and Mexico.
Handle confidential documents, contracts, and business communications on behalf of senior leadership.
Prioritize requests and streamline the executive’s schedule to ensure alignment with business priorities.

2. Project Coordination & Cross‑Functional Communication

Support administrative coordination for construction, operations, supply chain, or cross‑functional initiatives.
Track project milestones, schedules, risks, and cross‑departmental action items.
Consolidate information from Operations, Supply Chain, Engineering, Finance, Legal, and other departments.
Prepare administrative project notes and cross-functional communication summaries.

3. Supply Chain & Operations Administrative Support

Provide administrative support for supply chain, procurement, logistics, and vendor-related activities.
Consolidate operational, production, and capacity data (excluding presentation creation).
Assist with administrative needs related to U.S.–Mexico cross‑border operations.

4. Internal & External Stakeholder Communication

Serve as a primary administrative liaison between senior leadership and internal/external stakeholders.
Organize meetings and visits with government entities, vendors, customers, and strategic partners.
Ensure smooth and timely communication across international teams.

5. Administrative Analysis & Decision Support (Excluding Presentation Preparation)

Conduct basic research, gather information, and prepare administrative analysis.
Draft executive memos, decision summaries, and administrative documentation.
Support legal workflows, contract handling, and RFP/RFQ coordination.

6. Other Duties as Assigned

Handle urgent tasks, confidential matters, and ad‑hoc assignments.
Support continuous improvement of administrative processes and operational efficiency.

Qualifications
Education & Experience

Bachelor’s degree in Business, Supply Chain, Engineering, Communications, or related fields.
5–10 years of experience supporting senior leadership; experience in manufacturing, supply chain, or major project environments preferred.
Experience working in multinational settings involving the U.S., Taiwan, or Mexico is highly desirable.

Required Skills

Strong English communication skills; Mandarin proficiency is a plus.
Exceptional organization, prioritization, and multitasking ability.
High integrity and professionalism in handling sensitive and confidential information.
Proficient in Microsoft 365 (Outlook, Teams, Excel, Word).
Strong attention to detail and ability to work under pressure.

Preferred Qualifications

Experience in factory construction, PMO, supply chain operations, or large‑scale project coordination.
Strong business writing and basic analytical skills.
Ability to work independently in a dynamic and fast‑changing environment.
