Administrative Assistant

We are a medium sized, family-owned construction company located north of Boston. Our team takes pride in quality workmanship, reliability, and maintaining strong relationships with our customers. We are looking for a dependable and organized Administrative Assistant to support our daily office operations and help keep things running smoothly. This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, and ensure a smooth workflow across departments. The ideal candidate will bring enthusiasm, excellent communication skills, and a proactive attitude to help us maintain an efficient, welcoming, and professional environment. Whether managing schedules, handling correspondence, or supporting team members, you’ll play a key role in keeping our office running seamlessly every day.

Responsibilities

  • Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Coordinate calendar management and schedule appointments for team members and executives
  • Handle clerical tasks such as filing, proofreading documents, and organizing office supplies to ensure operational efficiency
  • Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Provide exceptional customer service by assisting clients or visitors with inquiries and support needs
  • Assist with general email and basic IT-related questions
  • Help manage the company Verizon Wireless account
  • Reconcile receipts and assist with basic record keeping
  • Maintain organized filing systems and ensure all documents are properly stored for easy retrieval
  • Support personal assistant responsibilities such as managing emails, preparing reports, and coordinating meetings or events

Qualifications

  • Proven experience in office management or administrative roles with strong clerical skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients or team members
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Experience in customer service or customer support roles demonstrating professionalism and patience
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Previous experience as a receptionist (medical or dental) or personal assistant is advantageous
  • Ability to perform data entry accurately with high attention to detail and proofreading skills
