Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, handle incoming calls with courtesy, and route messages accurately
  • Perform data entry and maintain organized filing systems both physically and digitally using tools like Google Workspace and Microsoft Office
  • Coordinate calendar management, scheduling appointments, meetings, and events efficiently
  • Support bookkeeping tasks using ERP software, including invoicing and expense tracking
  • Assist with office management duties such as ordering supplies, maintaining office equipment, and overseeing general administrative functions
  • Provide customer service support by addressing inquiries promptly and professionally, ensuring positive interactions at all times
  • Proofread documents for accuracy, clarity, and professionalism before distribution
  • Handle clerical tasks such as photocopying, scanning, mailing, and document preparation with precision
  • Maintain a tidy reception area and ensure adherence to phone etiquette standards

Qualifications

  • Proven experience in office administration or clerical roles with demonstrated organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Strong computer literacy with the ability to quickly adapt to new software tools like QuickBooks or specialized office management systems
  • Excellent communication skills in both English and bilingual capabilities preferred to serve diverse client needs
  • Experience managing multi-line phone systems and providing exceptional customer support in a fast-paced environment
  • Knowledge of office procedures including filing, data entry, proofreading, and calendar management
  • Prior experience as a receptionist—dental or medical—considered a plus for understanding specialized workflows
  • Strong time management skills with the ability to prioritize tasks effectively under pressure
  • Personal assistant experience or familiarity with medical receptionist duties is advantageous
