Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team. Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems, handle incoming calls, and transfer or take messages as needed
  • Perform data entry, maintain accurate filing systems, and organize documents using digital tools such as Google Workspace and Microsoft Office
  • Schedule appointments, manage calendars, and coordinate meetings for staff and executives
  • Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record keeping
  • Support office management activities such as supply ordering, inventory control, and maintaining office equipment
  • Provide clerical support including proofreading documents, preparing reports, and ensuring accuracy in all communications

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to assist diverse client needs and enhance communication within the team
  • Previous office experience or administrative experience is preferred; familiarity with office management practices is a plus
  • Exceptional customer service skills with a professional demeanor and courteous phone etiquette
  • Experience with data entry, filing systems, proofreading documents, and maintaining accurate records
  • Knowledge of medical or dental receptionist duties such as calendar management and patient support is advantageous
  • Personal assistant experience or familiarity with bookkeeping tasks like invoicing or expense reconciliation is beneficial
