HRIT Hunters is seeking a highly organised and proactive Administrative Assistant on behalf of its prestigious client. The ideal candidate must have physically lived in the UK and possess hands-on experience in UK property management administration, along with exposure to project coordination.
This role requires excellent attention to detail, strong organisational skills, and the ability to manage both property-related administrative tasks and general office duties, while working closely with internal teams to ensure smooth day-to-day operations.
Candidates must be based in Rawalpindi or Islamabad and available to work full-time during UK business hours.
Key Responsibilities
UK Property Management Administration
- Provide administrative support across a portfolio of UK residential and/or commercial properties.
- Maintain accurate tenant records, tenancy agreements, and compliance documentation.
- Support tenancy lifecycle processes including move-ins, renewals, and move-outs.
- Log and track maintenance requests and liaise with contractors.
- Maintain organised property documentation and update CRM/property systems.
- Assist with rent schedules, invoicing coordination, and payment follow-ups.
- Communicate professionally with UK-based tenants, landlords, and stakeholders.
- Support property listing coordination and document management.
Required Knowledge of UK Property Processes
Candidates should demonstrate working knowledge of:
- Council Tax registration and updates
- Utility account coordination (gas, electricity, water, broadband)
- AST (Assured Shorthold Tenancy) agreements
- Tenancy renewals and related documentation
- Tenancy deposit registration schemes
- Right to Rent checks
- EPC (Energy Performance Certificate)
- Gas Safety Certificate tracking
- Electrical Safety Certificate (EICR)
- Inventory process and documentation
- Check-in and check-out coordination
- Referencing process support
- Landlord compliance documentation
- Maintenance request workflows
- GDPR awareness when handling tenant data
General Administrative Responsibilities
- Perform day-to-day administrative duties.
- Manage email correspondence and calendars.
- Schedule meetings and coordinate appointments.
- Maintain organised digital filing systems and records.
- Prepare reports, spreadsheets, and summaries.
- Support management with administrative and operational tasks.
- Work closely with team members to ensure tasks are completed efficiently.
- Coordinate internally to ensure smooth workflow and communication.
Project Coordination Support
- Assist in tracking project timelines and deliverables.
- Maintain project documentation and progress trackers.
- Coordinate communication between team members and stakeholders.
- Provide administrative support for project-related activities.
Required Qualifications
- Must have physically lived in the UK (study or work experience).
- Proven experience in UK property management administrative roles.
- Strong understanding of UK administrative standards and communication practices.
- Experience supporting administrative and coordination tasks.
- Excellent written and verbal English communication skills.
- Strong organisational and time management abilities.
- Ability to work independently and collaboratively within a team.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
Preferred Skills
- Experience using property management software or CRM systems.
- Familiarity with project management tools (Jira, Asana etc).
- Strong attention to detail and problem-solving approach.
- Professional communication skills when dealing with UK-based clients.
- Ability to manage multiple priorities effectively.
