Administrative Assistant

Job Title: Administrative Assistant with Marketing & Communications Expertise

Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant who brings a strong foundation in marketing and communications. This role blends traditional administrative responsibilities with strategic support in social media management, volunteer program coordination, and professional writing. The ideal candidate demonstrates exceptional organizational skills, polished written communication, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Administrative Support

  • Provide comprehensive administrative support including calendar management, scheduling, correspondence, and document preparation
  • Coordinate meetings, prepare agendas, and ensure timely follow-up on action items
  • Accurately record, transcribe, and distribute professional meeting minutes with clarity and precision
  • Maintain organized filing systems (digital and physical) to ensure efficient information retrieval

Volunteer Program Coordination

  • Support the planning, recruitment, onboarding, and engagement of volunteers
  • Maintain volunteer records and assist in tracking participation and program outcomes
  • Collaborate with internal teams to align volunteer efforts with organizational needs
  • Contribute to the development of volunteer communications and recognition initiatives

Writing & Communications

  • Draft, edit, and proofread a variety of professional communications including emails, newsletters, reports, and marketing materials
  • Ensure all written content reflects a high standard of professionalism, accuracy, and brand voice
  • Assist in developing internal and external communications strategies

Marketing & Social Media

  • Assist in the development and execution of marketing initiatives aligned with organizational goals
  • Manage and maintain social media platforms, including content creation, scheduling, and audience engagement
  • Monitor social media analytics and provide insights to enhance performance and reach
  • Ensure brand consistency across all communication channels

Qualifications

  • Experience in an administrative support role, ideally with some exposure to marketing or communications
  • Comfortable using social media and digital communication tools
  • Strong writing, editing, and proofreading skills with good attention to detail
  • Experience helping coordinate or support volunteer programs is a plus
  • Able to organize meetings and take clear, accurate notes
  • Good at staying organized, managing time, and handling multiple tasks
  • Able to handle confidential information responsibly and professionally

Work Environment
This position requires a proactive, adaptable professional who can effectively balance administrative responsibilities with creative and strategic contributions to marketing and communications efforts.

Pay: $17.00 - $18.00 per hour
