We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems, handle incoming calls, and route messages promptly.
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading.
- Schedule appointments, coordinate calendar management, and assist with meeting preparations.
- Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining office equipment.
- Provide customer service support by addressing inquiries efficiently and professionally.
- Assist with clerical tasks including typing correspondence, managing Google Workspace documents, and supporting data entry projects.
Qualifications
- Proven experience in office administration or clerical roles, with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Excellent computer literacy and familiarity with office management software such as QuickBooks.
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
- Strong phone etiquette skills with experience managing multi-line phone systems.
- Demonstrated ability to multitask efficiently while maintaining attention to detail.
- Previous experience in customer service or support roles is highly desirable.
- Knowledge of medical or dental receptionist duties is a bonus but not required; relevant personal assistant experience is also valued.
