Administrative Assistant

Our office in Saudi Arabia is currently seeking a highly motivated and experienced Administrative Assistant to join our dynamic team.


Role Overview

The main objective of the role is to provide high-quality administrative, government relations and operational support within Fulkrum’s business in the Kingdom of Saudi Arabia.

This includes maintaining accurate employee and government records, coordinating administrative processes, supporting payroll and finance administration, and ensuring documentation is processed in a timely, organised and compliant manner.

The Administrative Assistant contributes to Fulkrum’s goals and values by delivering a responsive, reliable and well-organised administrative service, supporting a positive employee experience and helping the business meet its local compliance and operational requirements.


Key Responsibilities and Duties

Government Relations and Employee Services

  • Assist with government transactions and employee administration through relevant KSA platforms, including Qiwa, Muqeem, Absher Business, Mudad and GOSI.
  • Process and track employee-related government requirements, including:
    • work permits and Iqama renewals
    • exit/re-entry visas
    • employee transfers
    • employee registration and updates on government platforms
  • Maintain accurate and up-to-date records of all government transactions, employee documentation and key compliance deadlines.
  • Coordinate with employees, internal departments and relevant government bodies to ensure documentation and transactions are completed accurately, on time and in line with local requirements.
  • Monitor expiry dates, required renewals and outstanding actions, escalating any risks, delays or issues to the HR & Government Relations Manager as appropriate.
  • Support the preparation and collation of documentation required for audits, inspections or internal compliance checks.

Administrative and HR Support

  • Support day-to-day administration relating to employee documentation, including contracts, letters, certificates and other employment-related records.
  • Maintain employee files, trackers and filing systems, ensuring records are accurate, complete, secure and easily accessible when required.
  • Support onboarding administration, employee record updates and routine HR reporting.
  • Assist with payroll preparation by collating and checking information relating to new joiners, leavers, leave, allowances and other relevant employee changes
  • Prepare and maintain trackers, logs and registers for employee records, government activity, payroll inputs and other key administrative matters.
  • Provide general office and team administration support as required, including document preparation, correspondence, meeting coordination and other day-to-day support activities.
  • Handle sensitive employee and business information with a high level of confidentiality, professionalism and integrity.

Finance and Operational Support

  • Support finance administration relating to vendor and employee-related payments, ensuring supporting documentation is complete and properly recorded.
  • Support the coordination of client billing administration, including invoice submission tracking and follow-up where required.
  • Assist with the monitoring of outstanding payments.
  • Support Zakat and tax tracking deadlines and coordinating with the Finance team or external advisers as required.

Continuous Improvement and Team Support

  • Contribute to the continuous improvement of administrative processes, filing systems, trackers and document control practices to improve efficiency, accuracy and compliance.
  • Build effective working relationships with employees, managers, clients, vendors and external stakeholders to support smooth day-to-day operations.
  • Provide flexible support to the wider team as required, in line with business needs and Fulkrum’s collaborative working approach.

Skills and Qualifications

Education

Bachelor’s degree or Diploma in Business Administration, Accounting or a related field.


Experience

  • Previous experience in administration, government relations, HR support, payroll support, finance administration or a similar coordination role within Saudi Arabia is desirable.
  • Experience of supporting employee-related administration and working with Saudi government platforms would be highly beneficial.

Knowledge and Skills

  • Strong administrative, organisational and record-keeping skills.
  • Excellent attention to detail and data accuracy.
  • Ability to manage multiple tasks, prioritize effectively and meet deadlines in a fast-paced environment.
  • Good understanding of basic finance administration, including payments, invoicing, supporting documentation and local statutory processes.
  • Familiarity with Saudi labour regulations and relevant government platforms would be an advantage
  • Proficient in Microsoft Office, particularly Excel, Word and Outlook.
  • Strong communication and interpersonal skills, with the ability to work effectively with employees, managers, government authorities, vendors and clients.
  • High standards of confidentiality, professionalism and integrity.
  • Proactive, organised and able to work both independently and as part of a team.
  • Arabic and English language skills are required.
