Administrative Assistant

We are seeking a dependable and detail-oriented Administrative Assistant to support our front desk operations and work closely with the Office Manager. This role is essential to keeping our office running smoothly and delivering excellent service to our patients.

IMPORTANT: We are looking for someone who is detail-oriented and ready to actively support both patients and the Office Manager in all aspects of daily operations.

Key Responsibilities:

  • Answer incoming phone calls to assist with patient scheduling and respond to general inquiries in a professional and friendly manner
  • Schedule, reschedule, and manage patient appointments efficiently
  • Confirm upcoming appointments by phone when patients have not confirmed electronically
  • Assist the Office Manager with various administrative and operational tasks as assigned
  • Process patient payments at check-out when needed
  • Contact insurance companies to gather information and clarification as directed by the Office Manager

Work Style & Expectations:

  • Work under the direct supervision of the Office Manager with ongoing guidance and direction
  • Follow detailed instructions, office protocols, and established workflows precisely
  • Be responsive to feedback and comfortable with frequent check-ins and updates
  • Handle multiple tasks and shifting priorities with a positive attitude
  • Maintain strong attention to detail and consistency in all assigned duties

Qualifications:

  • The ideal candidate is proactive, tech-savvy, and possesses excellent communication skills
  • Ready to handle a variety of administrative tasks with enthusiasm and professionalism
  • Strong organizational skills and attention to detail
  • Ability to multitask and remain calm in a fast-paced environment
  • Previous dental or medical office experience is a plus, but not required
