We are looking for an organized and proactive Administrator to support daily operations and serve as a key point of contact for both customers and internal coordination. This role is central to keeping communication, scheduling, and job tracking accurate and running smoothly across the business.
Key Responsibilities:
- Serve as the primary point of contact for customer communication, handling inbound and outbound messages and calls in a professional but casual, clear, and timely manner.
- Manage scheduling and customer updates, including appointment coordination, rescheduling, job status inquiries, and general service questions.
- Monitor daily crew activity for approximately 2 field teams, ensuring jobs are accurately tracked and completed in Pocketsuite.
- Audit completed work by reviewing job photos, verifying checklists, and confirming time logs and job completion accuracy in Pocketsuite.
- Follow up with field crews as needed to clarify missing information, correct discrepancies, or ensure proper documentation of completed work.
- Route and escalate customer or operational issues to the appropriate team member or manager when necessary.
- Maintain accurate and organized job and customer records using Google Workspace, Excel, and Pocketsuite.
- Assist with basic administrative tasks as needed, such as light filing, document organization, and office coordination support.
Qualifications:
- 0–2+ years of experience in administrative support, customer service, or office coordination (entry-level candidates welcome)
- Strong written and verbal communication skills with a professional but friendly tone
- High attention to detail with the ability to accurately track information and catch discrepancies
- Comfortable managing multiple priorities in a fast-paced, interrupt-driven environment
- Basic proficiency with Google Workspace (Gmail, Sheets, Docs) and Microsoft Excel
- Ability to learn and use scheduling/operations software (Pocketsuite experience a plus, not required)
- Reliable, organized, and consistent in following through on tasks and messages
- Strong problem-solving skills with the ability to escalate issues appropriately when needed
- Comfortable working set hours in a structured office support role with occasional flexibility
