Administrative Assistant

Job Summary:
The Administrative Assistant provides essential support to ensure the efficient day-to-day operations of the Temple office. This position assists staff, clergy, and volunteers with a range of clerical and administrative tasks and helps maintain a welcoming and organized front office environment. The ideal candidate is organized, detail-oriented, and capable of managing multiple priorities with professionalism and warmth.

Reports to:
The Administrative Assistant reports to the Office Administrator for daily assignments, priorities, and performance evaluation. The Office Administrator will also serve as a liaison between the Administrative Assistant and the clergy, Executive Board, as needed.

Responsibilities:

· General Administrative Support
Assist with daily clerical duties, including answering phones, responding to emails, preparing documents, and welcoming visitors. Support staff, clergy, and volunteers with administrative tasks as needed.

· Communication and Correspondence
Handle routine communications, manage mail (physical and electronic), and assist in preparing and distributing newsletters, announcements, and general temple communications.

· Calendar and Scheduling
Maintain temple calendars, coordinate appointments and meetings, and assist with scheduling for staff and clergy. Book rooms and resources as needed.

· Data Entry and Record Keeping
Maintain accurate and up-to-date member and donor records. Assist in database management and filing systems (digital and physical).

· Event and Program Support
Assist with planning, communication, and logistics for holiday celebrations, community events, and life-cycle ceremonies.

· Technology Assistance
Support basic office technology, including printers, phones, and live streaming/Zoom for services or meetings.

· Other Duties
Support additional administrative and operational tasks as assigned by the Office Administrator.

Qualifications:

· Education
High school diploma or equivalent required; college coursework or degree in a related field preferred.

· Experience
Prior experience in an administrative or office support role
Experience in a nonprofit or congregational setting is a plus
Comfort with technology and database software (e.g., Microsoft Office, ShulCloud, or similar)

· Skills
Strong organizational and multitasking abilities
Excellent communication and interpersonal skills
Attention to detail and ability to meet deadlines
Ability to work independently and collaboratively
Warm and professional demeanor, with sensitivity to a diverse and inclusive community

Work Environment:

This part-time position is based in the temple office during regular business hours (Monday – Friday, 10:00 AM – 2:00 PM). Some flexibility in scheduling may be required. Occasional evening or weekend hours may be needed for holidays and special events.

Pay: $18.00 per hour
