Responsibilities

  • Serve as the first point of contact at the transportation department
  • , greeting visitors and directing them appropriately with professionalism and warmth
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently
  • Maintain organized filing systems, handle data entry tasks, and ensure accurate record keeping using tools like Microsoft Office and Google Workspace
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events for staff members
  • Support office management duties including supply inventory, order processing, and basic bookkeeping using QuickBooks or similar software
  • Provide excellent customer service by addressing inquiries promptly and supporting client or patient needs in a courteous manner
  • Perform clerical tasks such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Exceptional phone etiquette skills with experience handling multi-line phone systems and customer support calls
  • Bilingual abilities are highly valued to assist diverse clients or team members effectively
  • Prior office experience or administrative experience is preferred; familiarity with office management practices is a plus
  • Attention to detail for proofreading documents and data entry accuracy
  • Time management skills to prioritize tasks effectively and meet deadlines
  • Personal assistant or medical/dental receptionist experience is advantageous for understanding specialized workflows
