Administrative Assistant

Responsibilities

  • Serve as the front desk ambassador, greeting visitors and clients with professionalism and warmth.
  • Operate multi-line phone systems, answer inquiries, direct calls, and manage voicemail messages promptly.
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents.
  • Manage calendar scheduling, appointment setting, and coordinate meetings for staff and executives.
  • Handle data entry tasks with accuracy using Microsoft Office Suite, Google Workspace, and other relevant software.
  • Support bookkeeping activities using QuickBooks or similar accounting tools to track expenses and invoices.
  • Provide exceptional customer support through phone etiquette, email correspondence, and in-person interactions.
  • Assist with clerical duties such as proofreading documents, preparing reports, and managing office supplies.
  • Perform general office management duties including organizing files, maintaining office equipment, and overseeing daily operations.
  • Support personal assistant tasks when needed, including travel arrangements or special project coordination.

Experience

  • Proven experience in an administrative or clerical role within an office environment.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry software.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
  • Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities.
  • Bilingual capabilities are highly desirable to assist diverse client needs.
  • Experience with office management systems such as multi-line phone systems or front desk operations preferred.
  • Familiarity with bookkeeping software like QuickBooks or similar financial tools is a plus.
