Administrative Assistant

Cole Law Group, PC is a growing and respected civil litigation firm located in Brentwood, Tennessee. We represent clients in matters involving family law, defamation, business disputes, employment issues, and privacy rights. As our firm continues to expand, we are seeking a highly organized, proactive, and personable Administrative Assistant to support firm leadership and contribute to the daily operations of the business. This role offers a unique opportunity to gain exposure to law firm management, client relations, and business operations in a fast-paced and professional environment.

Position Overview

The Assistant to the Founder serves as a key support role within the firm, responsible for managing administrative operations, coordinating communications, and assisting with client-facing processes. This individual will work closely with the Founder and team members to ensure the office runs efficiently and that clients receive a high level of service.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments for the Founder and executive team
  • Prepare and track expense reports and assist with basic financial administration
  • Coordinate travel arrangements, including itineraries and logistics
  • Streamline internal and external communications to ensure efficiency and responsiveness
  • Support the executive team with day-to-day operational and administrative tasks
  • Help facilitate smooth daily operations through strong organization and proactive problem-solving

Qualifications

  • 1+ year of experience in an office setting (administrative support preferred).
  • Excellent verbal and written communication skills, with a pleasant and professional phone presence.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office (Word, Outlook, Excel); ability to quickly learn legal CRM or case management software (e.g., Clio, Lawmatics).
  • Ability to handle confidential information with discretion.
  • Customer service mindset and ability to remain calm and effective under pressure.
  • Associate’s degree required.

Work Schedule

  • Full-time, in-office position
  • Monday–Friday, 8:30 AM to 5:30 PM
