Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks.
- Organize and file documents systematically while ensuring confidentiality and easy retrieval.
- Support calendar management by scheduling appointments, meetings, and coordinating events efficiently.
- Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping.
- Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs.
- Handle clerical tasks including proofreading documents, managing correspondence, and supporting office management activities to ensure operational excellence.
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with QuickBooks or similar accounting software.
- Excellent computer literacy with the ability to learn new software quickly.
- Strong typing skills with attention to detail for proofreading and data entry accuracy.
- Bilingual abilities are highly desirable to assist diverse client needs.
- Experience in customer service roles such as medical or dental receptionist is a plus.
- Demonstrated ability to manage multiple tasks efficiently while maintaining professionalism and positive attitude.
