Administrative Assistant

We are seeking a proactive, detail-oriented Administrative Assistant to support daily office and field operations. This role is essential in maintaining smooth communication and workflow between office staff, field technicians, vendors, and subcontractors.

The ideal candidate is organized, dependable, and thrives in a fast-paced environment.

Responsibilities

Administrative Support
  • Handle incoming/outgoing mail and packages
  • Maintain organized filing systems (electronic and paper)
  • Perform clerical tasks: filing, scanning, copying, data entry
  • Manage office supplies and inventory
Scheduling & Dispatch
  • Coordinate warranty dispatch and production scheduling
  • Assist with scheduling field personnel and managing calendars
Accounting Support (AP/AR)
  • Assist with Accounts Payable (invoice processing, vendor communication)
  • Support Accounts Receivable (invoicing, payment tracking, follow-ups)
  • Maintain accurate financial records and data entry
Document Management
  • Prepare reports, spreadsheets, and correspondence using Microsoft Office
  • Maintain and organize electronic records
Team Support
  • Provide support to office and field staff
  • Coordinate travel arrangements as needed
  • Communicate with vendors and subcontractors
  • Assist with ordering materials and supplies


Qualifications

Required:
  • 1+ year of administrative or receptionist experience
  • Experience with scheduling/dispatch coordination
  • Basic experience with AP/AR processes
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong organization and attention to detail
  • Ability to multitask and meet deadlines
  • Excellent communication skills
Preferred:
  • Bilingual (English/Spanish)
  • Experience in construction or skilled trades
  • Experience with Microsoft Dynamics

Work Environment

  • Office-based role with frequent interaction with field teams
  • Fast-paced, team-oriented environment

Physical Requirements

  • Ability to sit, stand, and walk for extended periods
  • Ability to perform repetitive tasks (typing, filing)
  • Ability to lift up to 15 lbs occasionally
