Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities
- Personal assistant to the owner
- Operate multi-line phone systems efficiently to handle incoming calls and route messages accurately.
- Maintain organized filing systems, both physical and digital, including data entry, document proofreading, and record keeping.
- Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks to prepare reports, spreadsheets, invoices, and financial records.
- Coordinate calendar management and scheduling for meetings, appointments, and events while ensuring timely reminders.
- Provide excellent customer support by addressing inquiries promptly via phone or email while maintaining a friendly demeanor.
- Assist with clerical duties such as photocopying, faxing, mailing, and managing office supplies inventory.
- Support personal assistant tasks as needed to help executives stay organized and on schedule.
- Ensure accuracy in all written communications through proofreading and editing documents before distribution.
Experience
- Prior office experience in administrative roles or reception duties is required; experience in medical or dental receptionist roles is a plus.
- Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent communication skills with a focus on phone etiquette; bilingual abilities are highly desirable.
