Administrative Assistant

Position Summary

Entry-level, full-time Life & Health Administrative Assistant needed for a fast-paced insurance office. This role provides administrative support, assists with client service and billing tasks, and serves as backup to the main secretary.

Job Details

Hours: Monday–Friday, 8:30 AM–5:00 PM

Work setting: In-office (not remote)

Location: 115 Mill St, Hackettstown, NJ

Duties and Responsibilities

  • Answer incoming calls, greet visitors, and provide backup front-desk coverage for the main secretary as needed.
  • Process incoming/outgoing mail; prepare and mail policies and monthly advertising letters.
  • Accept and post payments; process customer billing transactions accurately and on time.
  • Log cancellation and renewal invoices; assist with weekly reporting and tracking.
  • Process life insurance applications, renewal offers, and endorsements.
  • Coordinate health insurance applications, renewal offers, and endorsements with agents/brokers.
  • Maintain office equipment and supplies and support a professional office environment.
  • Assist with other administrative/insurance-related tasks as assigned.

Requirements

  • Strong customer service and phone skills; diplomatic, courteous, and patient in challenging situations.
  • Dependable, detail-oriented, and able to follow instructions, multitask, and meet deadlines.
  • Professional demeanor; able to work independently and as part of a team.
  • Proficient with Microsoft Word, Excel, and Outlook; willing to learn new software.
  • Must have reliable transportation to and from the office.
  • Life/Health Insurance License preferred. If not currently licensed, must be willing to attend night classes to obtain the license (agency-paid training and licensing support provided).

Education and Experience

  • High school diploma or equivalent required. 1–2 years of office/administrative experience preferred.
