Administrative Assistant
The Office of Faculty Affairs is responsible for issues relating to School of Medicine faculty, including the development and interpretation of policies and procedures; recruitment, promotion, and tenure; faculty and chair orientation, counseling, and mediation; faculty development and governance; grievance and appeal procedures; and contractual, compensation, and legal issues. The office oversees standing committee operations, payroll and human resources functions, faculty performance evaluation, endowed chairs and professorships, statistical reporting, and serves as a liaison to the Office of the Senior Vice Chancellor for Health Sciences, the Office of the Provost, the Office of the Chancellor, Office of Legal Counsel, the University of Pittsburgh Physicians, and UPMC.
Preference will be given to candidates who have the following skills: prior or current experience working in a higher-education environment, have prior or current experience in event planning, excellent organization and time management skills with the ability to manage multiple events/projects concurrently with great attention to detail, and previous experience or training with communications technology and data reporting.
Supports senior level roles in a wide variety of complex administrative and office functions as well as specialized technical support for academic or administrative departments.
The Administrative Assistant position will provide administrative support in the School of Medicine Office of Faculty Affairs for Special Events and Projects. The incumbent will assist with the planning and execution of special events and projects. Will also assist with website design and ongoing management, technological optimization of office processes, data management and reporting.
The responsibilities of the Administrative Assistant position may include but not limited to the following - Coordinate new initiatives and handle administrative support tasks for newly identified and expanded pillars of SOM Faculty Affairs: (1) Diversity and Recruitment (2) Appointments
and Promotions (3) Development and Retention (4) Wellbeing and Professional Fulfillment (5) Professionalism, Remediation and Coaching (6) Faculty Excellence and Development * Lead event planning and execution *Generate and analyze reports and track budget expenses *Communicate effectively with faculty leaders, staff and intended audience * Utilize software for communications (website, Qualtrics, Wufoo, Canva, etc.).
Operates computers and other office equipment, communicates effectively with management contacts, performs well under pressure. Mostly sedentary. May require some light lifting (10-15 lbs.).
