Administrative Assistant

Our client, a leading financial services firm, is seeking a highly organized and detail-oriented Administrative Assistant to support top Advisors within its Private Wealth Management team in San Francisco. This role operates in a fast-paced, high-touch environment and requires exceptional professionalism, discretion, and the ability to manage competing priorities with ease. The ideal candidate will act as a key partner to senior stakeholders, helping to ensure seamless day-to-day operations and a high level of client service.


**Please note this is an onsite, 6-12-Month contract role based in San Francisco, CA. Pay will be $31.25/hr.**


Key Responsibilities:

  • Provide high-level administrative support to senior Advisors in a complex team environment
  • Manage and maintain extremely detailed calendars, coordinating internal and external meetings, conference calls, and logistics
  • Handle sensitive and confidential client information with the utmost discretion
  • Serve as a primary point of contact for incoming calls, interacting with senior stakeholders and clients in a professional manner
  • Coordinate client meetings and calls, ensuring all logistics and follow-ups are executed seamlessly
  • Arrange high-volume domestic and international travel, including visa processing, and manage expense reporting in a timely manner
  • Prepare and distribute correspondence, reports, presentations, and other documentation as needed
  • Support onboarding efforts for new hires in partnership with Business Unit leadership
  • Assist with general office operations including filing, copying, shipping, inventory management, and facilities coordination
  • Coordinate catering and conference services for client meetings and events
  • Organize and ship materials to clients, ensuring timely delivery and follow-up
  • Maintain a strong understanding of company policies and handle administrative matters independently when appropriate


Qualifications:

  • 5+ years of experience supporting senior executives in a fast-paced, complex environment (financial services preferred)
  • Proven ability to handle highly confidential information with discretion and sound judgment
  • Excellent written and verbal communication skills with a polished, professional demeanor
  • Strong organizational skills and exceptional attention to detail
  • Proactive, resourceful, and able to anticipate needs and solve problems independently
  • Ability to multitask and prioritize effectively under pressure in a deadline-driven environment
  • High level of integrity, professionalism, and diplomacy
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with expense management platforms such as SAP Concur is preferred
  • Positive, team-oriented attitude with a willingness to support broader team initiatives
