We are seeking a highly organized and detail-oriented Administrative Assistant to support a dynamic engineering and operations environment. This role is critical to ensuring smooth day-to-day coordination across teams, with a strong focus on complex international travel planning, vendor coordination, and reporting support.
This position is not dedicated to a single executive but instead supports multiple teams, requiring flexibility, strong communication skills, and the ability to manage competing priorities.

What You’ll Do:

International Travel Coordination
-
Plan and coordinate complex domestic and international travel arrangements for team members (flights, accommodations, visas, transportation, itineraries)

Manage last-minute changes and troubleshoot travel issues across multiple time zones

Ensure compliance with company travel policies and cost guidelines

Vendor & Staffing Coordination

Support the administration of agreements with staffing partners across U.S. facilities

Maintain accurate records of contracts, contacts, and updates

Serve as a point of coordination between internal teams and external staffing vendors

Reporting & Administrative Support
-
Assist engineering and operations teams with reporting, data tracking, and documentation
-
Utilize Excel to compile, analyze, and maintain reports (pivot tables, formulas, data organization)

Prepare summaries, dashboards, and internal communications as needed

General Administrative Support

Coordinate meetings, schedules, and logistics across departments

Maintain organized documentation and filing systems

Support site-level administrative needs within a warehouse/operations environment
What We’re Looking For:
-
3+ years of administrative experience in a fast-paced environment
-
Proven experience coordinating
complex international travel
(required)

Strong proficiency in Microsoft Excel (reporting, data tracking, formulas)

Experience working with vendor contracts or external partners preferred

Excellent organizational skills and
exceptional attention to detail
