Administrative Assistant

We are looking for an Administrative Assistant to support project coordination, compliance-related activities, and day-to-day operational organization for a growing team. This contract opportunity with potential for a permanent role is ideal for someone who can keep multiple initiatives moving forward, maintain accurate documentation, and communicate effectively with stakeholders across functions. The person in this role will help bring structure to active workstreams, support change implementation efforts, and contribute to clear reporting and meeting coordination.

Responsibilities:
• Oversee and update a portfolio of active projects, ensuring priorities, timelines, dependencies, and potential issues are visible and well organized.
• Assist with compliance-focused initiatives by coordinating activities, tracking progress, and helping teams align with regulatory and internal expectations.
• Build and support change management processes that improve adoption, close process gaps, and promote consistent execution across projects.
• Prepare testing plans and help carry out validation activities to confirm changes are implemented effectively and meet intended objectives.
• Organize meetings from start to finish by creating agendas, capturing decisions, documenting action items, and sharing follow-up notes with participants.
• Develop project schedules, key deliverables, and status updates in partnership with cross-functional stakeholders.
• Maintain clear communication with stakeholders by circulating updates, highlighting risks, and escalating barriers that may affect progress.
• Keep project records, files, and reporting materials current within a centralized documentation system that supports audit readiness.
• Produce clear reports and presentations that summarize milestones, compliance considerations, and overall project performance.
• Experience supporting multiple projects at once in an administrative, project assistant, or coordination capacity.
• Strong written and verbal communication skills with the ability to work effectively across varied teams and business partners.
• Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
• Familiarity with project tracking or planning tools such as Microsoft Project, Smartsheet, or similar platforms.
• Excellent organizational skills, with the ability to manage deadlines, maintain accurate records, and prioritize competing tasks.
• Detail-oriented approach with strong analytical and problem-solving abilities.
• Ability to work independently, adapt to changing needs, and remain effective in a fast-paced environment.
• Exposure to compliance-related work, change management support, or testing coordination is strongly preferred.
