We are seeking a highly organized, detail-oriented, and energetic Administrative Assistant to support our attorneys and contribute to the smooth operation of our Pittsburgh office. What You'll Do
As a key member of our team, you'll provide administrative, clerical, and legal support while helping maintain an efficient and professional office environment.
Administrative & Office Support
- Coordinate attorney calendars, schedule meetings, appointments, and travel arrangements
- Prepare meeting materials and assist with meeting coordination
- Manage incoming and outgoing correspondence, including mail, email, scanning, copying, and filing
Legal & Case Management Support
- Open, organize, and maintain legal files and case records
- Draft, format, proofread, and finalize legal documents, pleadings, correspondence, and reports
- Receive and transcribe legal dictation when required
- Assist attorneys with case management, matter tracking, and deadline monitoring
- Maintain document indexes and electronic records, including scanned correspondence and emails
- Compile information from multiple sources for reports, presentations, and client matters
- Serve as a collaborative resource for attorneys, paralegals, and support staff
Administrative Systems & Recordkeeping
- Perform accurate data entry and document management
- Ensure records, correspondence, and files remain organized and up to date
- Support workflow processes while maintaining strict confidentiality

- High school diploma or equivalent
Preferred Qualifications
- Experience as a legal secretary, legal assistant, administrative assistant, executive assistant, medical receptionist, or similar administrative role
- Familiarity with legal terminology, civil procedures, and document preparation
- Experience with case management, calendaring, docketing, or document management systems
Technology Skills
- Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
