About the Practice

A well-established forensic and clinical psychology practice seeks a sharp, dependable Part-Time Office Administrative Assistant. In addition to clinical therapy, the practice specializes in family court evaluations and court involved therapies working closely with attorneys, judges, and families in the New Jersey family court system. The Office Assistant plays a key role in maintaining organized office operations and efficient communication with clients. This is a small, professional office where your work directly supports meaningful outcomes for children and families.

Position Summary

This role is the backbone of daily office operations: managing communications with attorneys and clients, maintaining meticulous, organized files, and ensuring the practice runs smoothly. If you thrive in environments that demand precision, discretion, and professionalism, this is a strong fit.

Schedule

  • Monday–Wednesday: In-office, approximately 6–8 hours/day
  • Thursday: ~1 hour remote (check phone and email messages with follow-up)
  • Some flexibility available based on mutual needs

Key Responsibilities

  • Serve as the first point of contact for clients, counsel, and court professionals via phone and email
  • Draft, proofread, and send professional correspondence (engagement letters, scheduling communications, record requests)
  • Maintain organized electronic and paper filing systems in compliance with forensic record-keeping standards
  • Schedule appointments and coordinate calendars across multiple cases
  • Scan, organize, and manage legal and clinical documents
  • Assist with personal and professional file storage and organization projects
  • Handle sensitive and confidential materials with the highest level of discretion
  • Ensure confidentiality and proper handling of sensitive information and HIPAA compliance

Qualifications

Required:

  • Direct experience as an administrative assistant, legal secretary, or secretary
  • Excellent verbal and written communication skills (you'll be drafting correspondence that goes to attorneys and the court)
  • Strong organizational skills and meticulous attention to detail
  • Comfortable handling confidential information in a legal/forensic context
  • Proficiency with Mac computers and Microsoft Office Suite

Strongly Preferred:

  • Experience in a law firm, legal department, or administrative role
  • Familiarity with legal terminology, document management, or case file organization
  • Undergrad/Graduate students pursuing future LPC, LCSW, or Psych licensure encouraged to apply
  • Tech-savvy and confident troubleshooting independently or by contacting support
