Job Summary And Qualifications

As a part of our team, you are an integral member and provide administrative support to individuals including SVPs, VPs, AVPs, Directors, and Managers. Our areas include service lines (activities related to the provision of a given subspecialty [for example cardiac]) and financial resiliency (which fosters the provision of high healthcare value). While a plus, no prior knowledge of these areas or healthcare is required. Teamwork, corporate personal, communication, collaboration, organizational skills, and flexibility are essential. Microsoft Office skills are a requirement with high proficiency in Outlook (including calendars, scheduling, email, contacts, etc.), PowerPoint, Word and Excel. Remote meeting platform experience (Webex, Zoom, etc.) is a plus. Flexibility and initiative in supporting additional office projects needing extra attention due to specific deadlines is a plus. In any of these areas, there are resources to help you “get up to speed” when needed.

This is an onsite role, located at our corporate campus in Nashville, TN.

Major Responsibilities:

  • Manage multiple Outlook calendars, schedule meetings/events using judgment to resolve conflicts.
  • Coordinate and arrange logistics for onsite and offsite meetings and events including conferences, entertainment, receptions, and dinners.
  • Make travel arrangements and processes travel expense reports via Concur and prepares reimbursement reports as requested.
  • Serve as primary contact for office deliveries/mail, office supplies, maintenance issues, equipment requests, new hire onboarding, etc.
  • Maintain Outlook distribution lists.
  • Provide general administrative support, including ordering supplies, making copies, filing, answering phones, delivering mail, drafting and typing correspondence, spreadsheets, presentations, etc.
  • Attend meetings, draft meeting minutes and distribute outcomes as requested.
  • Maintain company intranet SharePoint sites.
  • Ability to handle confidential information appropriately.
  • Proficiency in Microsoft Office products including Outlook, PowerPoint, Word and Excel.
  • High degree of flexibility required.
  • Good interpersonal and organizational skills.
  • Ability to multi-task, work independently and proactively with minimal supervision.
  • Detail oriented.
  • Ability to effectively communicate with colleagues across the organization.
  • Ability to work and participate in a team environment within and across departments.

Education and Experience

  • Bachelor’s degree or equivalent work experience required
