Administrative Assistant

Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations for Managing Attorney, enhance workflow efficiency, and provide exceptional customer service. Duties

  • Handle calendar management and scheduling for team members, including appointment setting and meeting coordination.
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure high-quality communication.
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports, correspondence, and presentations.
  • Work closely with Accounting, Negotiations, Pre-Litigation and Breakdown Departments
  • Provide client support via phone or email, addressing inquiries promptly with excellent phone etiquette and customer service skills.
  • Offer personal assistant support as needed to a Managing Attorney, including travel arrangements or special project assistance.

Qualifications

  • Proven office experience with strong clerical skills and familiarity with office management procedures.
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel) and Google Workspace tools.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Bilingual abilities (Spanish) are a must to serve diverse client needs better.
  • Exceptional communication skills including phone etiquette and customer service expertise.
  • Attention to detail for proofreading documents and data entry accuracy.
  • Previous experience as a receptionist or medical/dental receptionist is advantageous.
  • Personal assistant experience or calendar management skills are beneficial for supporting team members efficiently.
