Administrative Assistant - Claims

Purpose: The Claims Assistant provides administrative and clerical support to the Risk & Claims Manager by assisting with the intake, processing, and documentation of vehicle and workers’ compensation claims. This role helps ensure timely submission, recordkeeping, and coordination with internal teams, insurance partners, and legal counsel. The position plays a key role in maintaining organized records and supporting communication throughout the claims process.

Responsibilities

    • Assist with the intake of incident reports and initial claim documentation.
    • Enter and update claim details in the internal tracking system and ensure completeness.
    • Coordinate follow-up documentation from internal departments, employees, and vendors.
    • Schedule appointments, calls, or meetings with insurance adjusters, attorneys, and claimants as directed.
    • Maintain organized digital and physical files for all open and closed claims.
    • Generate basic claim status reports and summaries for review by the Risk & Claims Manager.
    • Prepare correspondence to employees, carriers, or legal representatives regarding claim updates.
    • Ensure proper retention of claim records in compliance with regulatory and audit requirements.
    • Track deadlines and assist with filing compliance reports (e.g., OSHA logs, insurer notifications).
    • Support other administrative needs as requested by the Risk & Claims Manager.

  • Responsiveness to internal and external follow-up requests
  • Accuracy of data entry into tracking systems

Education:

High school diploma or equivalent required; associate degree or coursework in business administration, risk management, or HR preferred.

Experience:

  • 1–2 years of administrative experience, preferably in insurance, legal, or HR support
  • Familiarity with document handling, case files, or compliance documentation

Exposure:

  • Basic understanding of claim types (workers’ comp, auto, liability)
  • Experience handling confidential and sensitive information
  • Comfort working in a fast-paced, detail-oriented environment
