Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.


Summary:

We are seeking a highly organized and proactive administrative professional to provide comprehensive support to two General Managers within a fast-paced, globally oriented brand, strategy, and advertising team. This is a dynamic role requiring the ability to hit the ground running, manage competing priorities with confidence, and deliver seamless day-to-day operational support across a high-volume environment. The ideal candidate thrives under pressure, anticipates needs before they arise, and brings a polished, professional approach to every interaction with internal stakeholders and external partners alike.


Job Responsibilities:

  • Manage complex executive calendars, coordinate meetings, and facilitate stakeholder scheduling across time zones

  • Arrange domestic and international travel, including itineraries, logistics, and last-minute changes

  • Process and reconcile business expenses accurately and in a timely manner

  • Plan and coordinate team meetings, events, and offsites from end to end

  • Support department financial operations including budget tracking and procurement activities

  • Manage procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships

  • Serve as the primary point of contact for the team, handling inquiries and routing communications appropriately

  • Support personnel operations and facility needs as required

  • Provide general office support and maintain smooth day-to-day team operations

  • Complete special projects and ad hoc assignments as directed by leadership


Requirements:

  • 4+ years of administrative support experience, including direct support of executives or senior leaders

  • 4+ years managing complex calendars, meetings, and multi-stakeholder coordination

  • 4+ years coordinating travel, processing expenses, and supporting procurement and operational functions

  • 4+ years of advanced Microsoft 365 usage in a professional, high-volume environment

  • Demonstrated experience supporting teams within brand, marketing, advertising, or similarly fast-paced organizations preferred

  • Bachelor's degree preferred; equivalent professional experience will be considered

  • Executive calendar management including complex multi-stakeholder scheduling and coordination

  • Travel coordination, expense processing, and business operations support

  • Advanced proficiency in Microsoft 365 including Outlook, Teams, Excel, PowerPoint, and Word

  • Strong organizational skills with the ability to manage multiple priorities simultaneously

  • Proactive problem-solving and the ability to anticipate leadership needs

  • Excellent written and verbal communication skills for interaction with internal and external partners

  • High attention to detail and commitment to accuracy in all deliverables

  • Ability to work effectively in a fast-paced, global team environment with flexible core hours

  • Discretion and professionalism when handling confidential information


Additional Details:

  • Location: Redmond, WA (Onsite)

  • Duration: 11 months

  • Pay Range*: $27.50 - $31 per hour

  • Weekly Schedule: 40 hours

  • Job Status: Non-Exempt
