Administrative Assistant - High School

Position Purpose

Under the general supervision of the High School Principal, the Principal Administrative Assistant provides high-level administrative and organizational support to ensure the efficient operation of the school. This position serves as a key point of coordination for school communications, scheduling, records management, and day-to-day administrative functions while maintaining strict confidentiality and professionalism.

Essential Functions

  • Provides direct administrative support to the Principal, including managing calendars, scheduling meetings, and coordinating daily activities.
  • Serves as the primary point of contact for the Principal's office, ensuring a professional, responsive, and secure environment for staff, students, parents, and visitors.
  • Prepares, edits, and manages correspondence, reports, memos, and other official documents.
  • Maintains accurate and organized records, including student, personnel, and school operational documents, in compliance with applicable laws and district procedures.
  • Coordinates meetings, including preparation of agendas, materials, and follow-up documentation.
  • Assists with school-level reporting requirements, data entry, and documentation for district and state submissions.
  • Manages incoming calls, emails, and inquiries, routing information appropriately and ensuring timely responses.
  • Supports school operations by coordinating logistics for events, testing, and other administrative functions.
  • Assists with substitute coordination, purchase orders, and other operational tasks as assigned.
  • Maintains confidentiality of sensitive information in accordance with FERPA and district policies.
  • Supports crisis response and administrative needs as directed by the Principal.
  • Performs other duties as assigned by the Principal or designee.

Knowledge, Skills, And Abilities

  • Strong organizational and time-management skills with the ability to prioritize in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Proficiency in office technology, including word processing, spreadsheets, email systems, and student information systems (e.g., Infinite Campus).
  • Ability to manage multiple tasks and interruptions while maintaining accuracy and efficiency.
  • Strong interpersonal skills with the ability to interact effectively with students, staff, parents, and community stakeholders.
  • Working knowledge of school operations, policies, and procedures preferred.

Education And Experience

  • High school diploma or equivalent required.
  • Associate degree or higher preferred.
  • Previous experience in an administrative support role, preferably in a school or public sector environment.
  • Experience with school information systems and office management systems preferred.

Working Conditions

  • Office environment within a school setting.
  • Frequent interaction with students, staff, parents, and the public.
  • May require occasional extended hours to support school events or deadlines.
