JOB DESCRIPTION: To provide secretarial and administrative support to the Site Administrator; communicating information to students, parents, staff, and/or other districts; ensuring compliance with financial, legal and administrative requirements; and supporting the broad array of services provided to parents, students, instructional and support staff.
QUALIFICATIONS: High school diploma or equivalent GED. Two years of secretarial experience preferably in a school or office setting. Ability to complete a variety of assignments with minimal instruction or supervision. Data processing experience is desirable. Background check.
RESPONSIBILITIES:
? Provide general secretarial services to the principal, including the composition of routine correspondence, processing of evaluations and recommendations, producing correspondence and/or documents to support presentations, meetings, records, spreadsheets, and databases. Supports Principal and other administrative personnel to assist with their administrative functions.
? Responds to inquiries from a wide variety of internal and external parties for the purpose of information, answer routine questions, coordinate activities concerning student enrollment, referral, evaluation, placement, and withdrawal procedures, facilitating communication among departments and/or providing direction as may be required.
? Maintain the school budget. Processes a variety of fiscal information (incoming invoices, purchase orders/requisitions, refund requests, payment requests, student fees, cash receipts, invoicing, statements, etc.) to maintain efficient operation of the school.
? Requisition supplies, materials, maintenance services, as directed, to maintain efficient operation of the school. Receive supplies and educational materials, manage fiscal information via a computerized system.
? Coordinates a variety of programs and/or activities for the purpose of ensuring availability of facilities and/or equipment and delivering services with established guidelines.
? Evaluates situations (e.g. involving other staff, students, parents, the public, police, probation department, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolutions.
? Orients new campus personnel regarding appropriate school and district practices (e.g. directions, building procedures, etc.) for the purpose of effectively assimilating new personnel into campus operations.
? Prepares a wide variety of reports and written materials (e.g. correspondence, agendas, minutes, newsletters, bulletins, programs, financial statements, annual reports, master calendar, etc.).
? Manage and communicate school-wide and administrative schedules by maintaining physical and/or electronic calendars pertaining to school events/meetings, parent/staff meetings, teacher evaluations, and community events.
? Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
? Maintains office equipment, tools and work areas (e.g. cleaning, load supplies, clear paper jams, etc.) for the purpose of ensuring a safe working environment and the availability of items within a specific time frame.
? Work under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; and maintaining a positive school image at all times.
? Perform other duties as assigned.
SALARY: Twelve-month position, beginning salary Level 33, employee benefits in accordance with Board Policies.
EVALUATION: Performance to be evaluated in accordance with Board Policy on the evaluation of support
personnel.
