Position Overview:
We are seeking a highly skilled and proactive Administrative Assistant III to provide senior-level administrative support, manage complex tasks, and oversee department operations with a high degree of autonomy. As a key member of the administrative team, the Administrative Assistant III will be responsible for executive-level support, high-level project coordination, and optimizing department operations.
This role requires strong problem-solving, project management, and leadership skills, along with the ability to handle confidential and high-priority matters with discretion. This position is ideal for a detail-oriented, highly organized professional looking to step into a strategic administrative role that contributes to the efficiency and success of the department.
Responsibilities:
- Provide high-level executive administrative support, including complex scheduling, prioritization of tasks, and handling confidential correspondence on behalf of department leadership.

Serve as a key liaison between leadership, internal teams, and external stakeholders, ensuring seamless communication and operational coordination.

Monitor and maintain office supplies inventory, placing orders and managing office equipment maintenance to ensure smooth daily operations.

Prepare, review, and refine presentations, reports, and data analysis, delivering key insights to support strategic business decisions.

Plan and coordinate meetings, leadership retreats, and department-wide events, managing logistics, agendas, materials, and follow-up actions.

Provide administrative support for high-level projects, as assigned.

Act as a point of contact for internal and external stakeholders, including greeting visitors, directing phone calls, and addressing inquiries professionally.

Facilitate collaboration and maintain professional relationships with internal departments, external partners, and vendors to enhance operational effectiveness.

Willingness to travel up to 10% of the time primarily for occasional offsite meetings, training sessions, or company events.

Flexibility may be needed for occasional overtime, business events, or urgent administrative requests based on organizational needs.

Qualifications:
- High School Diploma required; Associate’s or Bachelor’s degree preferred.

7+ years of experience in administrative support, executive assistance, or office management in a fast-paced professional environment.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office management software and collaboration tools.

Exceptional organizational, time management, and problem-solving skills, with the ability to prioritize multiple tasks effectively.

Exceptional attention to detail, ensuring accuracy in document preparation, scheduling, and data management.

Discretion and professionalism in handling confidential and sensitive information.

Excellent verbal and written communication skills, with the ability to interact confidently with internal and external stakeholders, including senior leadership.

Travel Requirements:
- This position does not require regular travel as part of its primary responsibilities. However, occasional travel
may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or company events.
Travel, when necessary, will be communicated in advance and aligned with business needs.
