As the Administrative Assistant, you will play a pivotal role in managing the salon's finances, HR tasks, inventory, purchasing, and other administrative duties. The successful candidate will demonstrate strong organizational skills, an understanding of accounting, and a proactive approach to problem-solving.
Key Responsibilities:
Finances/Accounting:
- Process and request all payments, including utilities and vendor invoices.
- Record all expenses in the accounting sheet accurately and timely.
- Manage cash flow and handle daily cash transactions.
- Request invoices and create receipts for all expenses, maintaining organized monthly files.
- Support payroll processing, ensuring timely and accurate payments to staff.
HR/Admin:
- Regularly update and maintain staff files and records.
- Draft various internal documents including warning letters, offer letters, end-of-service letters, salary certificates, etc...
- Monitor the operations email daily, promptly forwarding and addressing emails.
- Track staff leave and manage leave records.
- Apply for Medical Commission appointments, government contracts, visas, ID renewals, and other government-related tasks.
- Update staff schedules monthly
- Add new services and retail products to the Salon System
Inventory/Purchasing:
- Handle inquiries from suppliers and maintain strong vendor relationships.
- Create purchase orders based on management-approved requisitions.
- Update the inventory sheet regularly
- Input any new retail products into the Salon's System
Other Duties:
- Coordinate with maintenance personnel for necessary repairs and oversee work when required.
- Prepare accommodation for new team members.
- Collaborate with marketing personnel to post on Instagram, Tik Tok, Facebook, etc...
- Support the reception team whenever needed.
Qualifications:
- Previous experience as an Administrative Assistant or in a similar role
- Strong organizational and multitasking abilities with a keen attention to detail.
- Proficiency in accounting software and Microsoft Office Suite (Excel, Word, Outlook).
- Excellent communication skills, both written and verbal.
- Ability to work independently while being part of a team-focused environment.
