Job Description:
SOAZ - Req # 8169 – AZDES – DBME is seeking a detail-oriented Administrative Assistant. This role is primarily onsite with potential hybrid work after training. The ideal candidate will have strong communication skills, front desk/scheduling experience, and the ability to maintain accurate records.

Responsibilities:

Perform general administrative assistant duties including managing correspondence, records, and internal communications.
  • Operate switchboard to answer, direct, and transfer incoming calls, manage visitor check-ins, and provide general customer service.
  • Handle emergency calls, monitor alarms, manage paging systems, sort mail, and provide basic support as needed.
  • Locate specialized doctors for claimants to complete exams requested by Disability Evaluators. Schedule consultative examinations (CE), follow up with claimants, and prepare CE packets for mailing or fax.
  • Respond to inquiries from claimants, vendors, and other sources regarding claim status or transportation assistance.
  • Contact claimants, attorneys, medical providers, and hospitals to coordinate information and reports.
  • Ensure daily assignments are completed using tracking systems and conduct case development activities requiring analysis and judgment.

Required Skills:
  • Strong customer service skills (internal and external)
  • Scheduling / front desk experience
  • Proficient with computer applications

Preferred Skills:
  • Bilingual
