Administrative Assistant – Operations Support

Key Responsibilities

Operational & Administrative Support

  • Provide direct administrative support to the Director of Operations
  • Coordinate daily schedules, meetings, and calendars
  • Assist with organizing operational workflows and maintaining documentation
  • Prepare reports, spreadsheets, and internal communications

Communication & Coordination

  • Serve as a point of contact between leadership, staff, and external partners
  • Coordinate communication across departments to ensure alignment
  • Respond to emails, inquiries, and requests in a timely and professional manner

Data & Reporting

  • Track key performance indicators (KPIs) and assist in compiling reports
  • Maintain organized filing systems (digital and physical)
  • Support data entry, analysis, and reporting needs

General Office Support

  • Assist with onboarding documentation and staff coordination
  • Maintain office organization and administrative systems
  • Other duties as assigned

Qualifications

  • 2+ years of administrative, operations, or office support experience
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook) or Google Workspace
  • Ability to multitask and prioritize in a fast-paced environment
  • High attention to detail and problem-solving skills
  • Experience supporting operations or program management teams preferred
