The administrative Assistant handles all office documentation, including drafting memos and notices for manager distribution, tenant relations, and reports.
Responsibilities &Duties:
Prepare all correspondence (i.e. letters, memos, three-day notices) for properties.
Preparation of weekly reports: including accurate and up-to-date information (i.e., vacancies, delinquencies, etc.)
Running prospect's rental applications.
Tenant Relations
Follow up with managers regarding vacant units, tenant issues, leases on hold, and anything building-related.
Compile legal documents for eviction proceedings.
Prepare leases and make sure all information is accurate.
Ensure all corresponding paperwork (i.e., purchase orders, maintenance requests, etc.) is completed and input into the AppFolio Property Management System accurately and on time.
Preparation of weekly reports: including accurate and up-to-date information (i.e., vacancies, delinquencies, etc.)
Special Projects (i.e. Discovery/Legal, Ordinance, Low-income Renewals)
Constant communication with a supervisor regarding tenant issues, building updates, etc.
Maintain an accurate rent roll report in the AppFolio Property Management System.
Corresponding with property owners for approvals
Make sure all deadlines are met. (i.e., reports, building updates, city inspections, insurance inspections, etc.)
Assist in the training and guidance of resident managers on relevant policies and procedures as needed or requested.
Perform other duties as assigned.
Minimum qualifications:
Experience working with the AppFolio Property Management System preferred
Knowledge of property management, or related industry preferred
Excellent written and verbal communication skills
Ability to manage multiple priorities and meet deadlines on time
Must have proficient computer skills and the ability to operate a variety of systems and programs
Ability to handle heavy phone lines and multiple tasks simultaneously
Ability to take charge and make sound decisions
Experience working as part of a team, while also demonstrating initiative and the ability to work
Job Type: Full-time
Pay: $26.00 - $27.00 per hour
