Administrative Assistant Remote

POSITION SUMMARY: We are seeking a reliable, detail-oriented Administrative Assistant for a remote role to supporting daily operations of our company. This role is ideal for someone who is organized, proactive, and comfortable managing multiple tasks in a fast-paced environment. This position requires accuracy, discretion, and strong communication skills. Prior administrative or medical office experience is preferred but not required for the right candidate.

JOB RESPONSIBILITIES:

  • Managing Faxes: Send outgoing faxes, review incoming faxes, and take appropriate action as needed to ensure timely follow-up and proper documentation.
  • Data Entry: Accurately upload and maintain documents, including prescriptions (RXs), Explanation of Benefits (EOBs), patient intake forms, insurance correspondence, and authorization documents, etc.
  • Insurance Eligibility Verification: Navigate the EMR system and insurance portals to verify coverage and confirm insurance eligibility information.
  • File Management: Download, scan, organize, and upload documents while maintaining confidentiality and attention to detail within the EMR system and insurance portals.
  • Payments & Invoices: Process payments, create invoices, and assist with balancing accounts and claims to ensure accurate financial records.
  • Phone Calls: Make professional phone calls to clients and/or physician offices as needed to support administrative and operational needs.
  • Light Cleaning / Errands (Optional for additional hours): Perform light office upkeep or occasional errands, such as inventory restock, if agreed upon as part of additional responsibilities or extended hours.

QUALIFICATIONS:

  • High School Diploma required.
  • Additional college coursework or relevant training preferred.
  • Experience with Google Workspace, or similar office software
  • Familiarity with HIPAA regulations or prior HIPAA training preferred
  • Ability to work collaboratively with others and communicate professionally
  • Strong attention to detail and organizational skills
  • Ability to think critically and take initiative to complete tasks independently

ADDITIONAL JOB REQUIREMENTS:

Job Type: Part-time

Pay: $15.00 - $20.00 per hour

Expected hours: 10 – 20 per week

Work Location: Hybrid remote in West Columbia, SC 29169
