Administrative Assistant with Bookkeeping Responsibilities

Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team. In this vital role, you will be the backbone of our repair division operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment.

This is an on-site position, Monday through Friday from 8:30 a.m. to 4:30 p.m.

This position offers an exciting opportunity for someone with excellent communication abilities and a passion for delivering outstanding customer service. The ideal candidate will thrive in a fast-paced setting, demonstrating proficiency with office software, multitasking, and maintaining professionalism at all times.

Responsibilities:

  • Handle incoming phone calls, as needed, answering multi-line phone systems, and directing calls with proper phone etiquette
  • Perform data entry, filing, and proofreading tasks to ensure accuracy of documents and records, including working with the repair team on contracts, change orders, etc., throughout each job
  • Provide customer support via phone, email, or in person by addressing inquiries promptly and professionally for customers, insurance agents & adjusters
  • Daily follow ups with repair team regarding payment collection, job notes & job status
  • Daily updating of third-party administrator sites/platforms with job information
  • Support bookkeeping activities using QuickBooks Online to assist with invoicing, accounts payable, accounts receivable, reconciling and expense tracking

Qualifications

  • Proven experience in an administrative role with a strong background in clerical tasks and customer service
  • Excellent computer skills including proficiency in Google Suite, QuickBooks & Adobe
  • Demonstrated organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Strong typing skills coupled with attention to detail for proofreading and document accuracy
  • Knowledge of multi-line phone systems, office equipment operation, and basic bookkeeping practices such as work with QuickBooks Online
  • Exceptional time management skills combined with professional phone etiquette and customer support capabilities
  • Previous experience in insurance or construction preferred.
