POSITION SUMMARY
Under the supervision of the Police Administrative Support Supervisor, at the direction of the Police Chief, the Police Administrative Assistant / Crime Analyst is a non-exempt position under FLSA, which serves the City of McPherson. This position is responsible for answering incoming telephone calls, assisting the public, performing clerical duties, maintaining Department records, and assisting the Police Administrative Support Supervisor; these are the primary duties of this position. This employee should possess excellent communication, organization, and public relation skills.

ESSENTIAL FUNCTIONS
· Build and maintain positive working relationships with Police Department personnel, city staff, and members of the public.
· Performs the essential functions of a receptionist to include, answering the telephone and directs calls or persons to appropriate Department or individual;
· Troubleshoots problems in the office, answers questions, and assists the public regardless of provocation is courteous, considerate, and polite in every public contact;
· Assists in maintaining inventory of office supplies and requests orders of additional supplies as needed;
· Serves as a Notary Public;
· Digitizes old cases by scanning them into the computer;
· Posts court trials and officers needed;
· Assists in maintaining current warrant list;
· Assist with researching, writing, and submitting grants;
· Assists with preparing statistics;
· Assists with Community Events, Recruiting Events, and Special Events as needed;
· When needed may assist the Assistant Administration Support Supervisor with KLEAP;
· Performs clerical duties; copying, typing, processing, data entry, correspondence, and filing;
· Qualified to operate all equipment used in connection with assignments;
· Accountable for the operable condition of equipment and reports any malfunction of equipment to the Police Administrative Support Supervisor;
· Sends, receives, or distributes faxes and teletype information;
· Maintain strict confidentiality and complies with departmental policies on sensitive information and data handling.
· Maintain communication and collaboration with crime analysts across the state and country, including participation in professional networks and working groups.
· Assists with analyzing crime, calls for service, and investigative data to identify patterns, trends, and emerging problems within the community as needed;
· Issues bicycle licenses and assists in maintaining bicycle files;
· Enters court summonses and NTA’s;
· Enters case dispositions into computer,
· Trains new administrative staff as needed;
· Follows Department policies and procedures;
· Follows safety procedures and practices.
MARGINAL FUNCTIONS
· Types and files police reports;
· Performs other duties as deemed necessary or assigned;
POLICE ADMINISTRATIVE ASSISTANT / CRIME ANALYST - POSITION REQUIREMENTS
Experience: One year of administrative assistance experience or equivalent is required. Employee is expected to have acquired the necessary information and skills to perform the job reasonably well within one year of employment.
Education: A high school diploma or GED. This employee must be NCIC certified. Must become a member and maintain certification as a Crime Analyst through MARCAN.
Technical Skills: A thorough knowledge of computers, clerical skills, office procedures, administrative duties, and a working knowledge of mathematics are required. This employee must be able to operate computers, printers, telephone systems, photocopiers, dictation systems, and other office equipment. The ability to understand and anticipate problems, to interpret data, to type with speed and accuracy, to prepare reports, to concentrate on tasks in the presence of distractions, and to interpret computer manuals, articles, reports, and written instructions is required. This employee should possess excellent public relation, organizational, oral, and written communication skills. Must be able to create hot spot maps, statistical data, and use the ArcGIS system.
Problem Solving: Independent problem solving is involved in this position. This employee encounters problems with personnel issues, errors in data entry, and equipment malfunctions.
Decision Making: Independent decision-making is involved in this position. This employee makes decisions about resolving personnel issues, purchasing supplies, prioritizing daily assignments, and performing daily duties in the most efficient manner.
Supervision: The Administrative Assistant / Crime Analyst works under the supervision from the Police Administrative Support Supervisor, within the Chain of Command, at the direction of the Police Chief. This employee does not exercise supervision over other personnel.
Financial Accountability: This employee is responsible for Department resources and equipment. This employee does have limited authority to purchase necessary office supplies.
Personal Relations: Daily contact with the general public, co-workers, and supervisory personnel is expected.
Working Conditions: No adverse working conditions exist within this position. Working in an office setting with a computer is the primary aspect of this position.
Physical Requirements: Physical activity associated with working in an office setting is required to perform the daily duties of this position. Some manual labor including lifting and carrying heavy file/supply boxes is required occasionally in this position.
Residential Requirements: Must obtain residency within thirty-five miles of the city limits of McPherson.
